Budget Version Statuses Control What Can Change and What Should Not

Budget Versions in MIP® are more than labels. Each version carries a status that determines whether it can be edited, used in reporting, or preserved as final. Versions can be marked Active, Inactive, Discontinued, or Locked, and each choice affects how the data behaves.

Active versions are live and available for use. Locked versions protect final numbers from accidental changes. Inactive or Discontinued versions remain available for reference without interfering with current reporting. Using these statuses intentionally keeps historical budgets intact while allowing planning to continue without confusion.

Problems usually arise when version status is overlooked. Edits happen in the wrong version. Final numbers are changed unintentionally. Reports pull from a version that was never meant to be current. Reviewing the status before editing prevents these issues and keeps the audit trail clean.
